This week, we’re tackling a critical issue: fragmented CMS ecosystems and why a phased roadmap for content orchestration is the best way to modernize your digital ecosystem without disruption.

Content Orchestration Starts with a Clear Roadmap

What is Content Orchestration?
Content orchestration involves aggregating, managing, and distributing content across systems through a centralized hub. It ensures:

  • Centralization - A single repository for content governance, enrichment, and omni-channel readiness.

  • Distribution - Seamless delivery of enriched content to downstream CMS platforms that remain in operation.

This enables consistent messaging, streamlined workflows, and improved operational efficiency across your digital ecosystem.

The Problem - Fragmented CMS Ecosystems

Organizations often face this challenge when:

  • Adopting a Central Repository - Organizations may implement a composable DXP or standalone enterprise CMS as a central content hub but still rely on existing CMSs for portal, brand-specific websites, and department-level sites.

  • Decentralized Tech Stacks - Industries like higher education, consumer packaged goods (CPG) with multiple brands, and public sector organizations often operate multiple independent CMS platforms due to their business structures.

  • Scaling Through M&A - Rapid expansion through mergers and acquisition often results in a patchwork of inherited platforms requiring integration.

This fragmentation leads to:

  • Inconsistent Experiences - Disjointed messaging across digital touchpoints.

  • Inefficient Workflows - Redundant updates to content and assets across systems.

  • Missed Opportunities - Difficulty leveraging personalization and advanced analytics due to siloes.

The Role of a Composable DXP + iPaaS

A composable DXP with a built-in iPaaS layer offers an ideal solution for content orchestration. At its core, a CMS serves as a foundational component of a DXP, providing the structure for content management and delivery. The iPaaS acts as middleware, enabling:

  • Seamless integration with downstream CMS platforms.

  • Bidirectional content flow, ensuring enriched content can be sent to and pulled from legacy systems.

However, a composable DXP with iPaaS isn’t the only path forward. An enterprise CMS can also act as a content hub, supported by standalone middleware (i.e. an external iPaaS platform). While this approach achieves similar results, it often requires:

  • More Custom Integration Work - Increased reliance on APIs or manual connectors.

  • Ongoing Maintenance - Higher resource demands compared to a DXP with built-in capabilities.

The Key: Choose the combination of tools that best fits your organization’s complexity, resources, and long-term goals.

A Practical Roadmap for Content Orchestration

Regardless of the tools you choose, a phased strategy is essential:

  • Centralize Content

    • Use a composable DXP or enterprise CMS as the “source of truth” for content governance, enrichment, and readiness for distribution.

  • Integrate Systems

    • Leverage iPaaS or middleware to connect your centralized hub to downstream CMS platforms.

  • Distribute Content

    • Push enriched content to existing CMSs, maintaining continuity for portals, brand-specific websites, and department-level sites.

  • Plan for the Future

    • Develop a long-term roadmap to gradually consolidate or retire legacy systems while scaling personalization and analytics.

Replatforming all systems at once is rarely practical. This phased approach solves immediate pain points, such as inconsistent experiences and redundant workflows, while setting the foundation to consolidate or retire existing CMS platforms over time. The result? Greater cost savings, operational efficiency, and a scalable digital ecosystem aligned with your organization’s goals.

DXO encompasses broader capabilities for managing personalized, omni-channel experiences across the digital ecosystem.
